# Square

> Connect Square to post a daily sales summary to your ledger — connection steps, account and tax mappings, the hourly sync and manual re-syncs.

The Square integration posts **one balanced journal entry per day** — a Z-report — with net sales split by tax rate, the tax collected, tips where applicable, and the money received split by payment type into your cash and bank accounts.

## Connect

1. Open **Apps**, select **Square POS** and choose the **environment** — **Production**, or **Sandbox** to test.
2. Select **Connect Square** and authorise in Square.
3. Review your **locations**; each active location is synced separately.

## Map accounts

Before the first sync, tell OneBooks where each figure goes. Defaults are proposed; change them if you use custom accounts.

- **Tender → debit account** — every payment source (and card brand, if you split by brand) maps to a cash or bank account; a blank brand row is the catch-all for that source.
- **Revenue**, **tax payable**, **tips** and a **default payment** account for payments with no resolvable tender.

Any payment type without a mapping makes that day's sync fail with a clear message — map it and re-sync.

## The sync

- Runs **automatically every hour** and posts each completed day in the store's timezone.
- **Manual re-sync** — enter a date range (or leave it empty for a catch-up of all unsynced days). A day that was already posted is **reversed and re-posted**, never duplicated.
- Each day's status is listed under the connection: **Pending**, **Posted**, **Failed** (with the reason) or **Skipped** (no sales).

> **Accounting effect**
> Per day: Debit the mapped cash/bank accounts by payment type · Credit **4000 Sales Revenue** (net, by tax rate) · Credit **2100 VAT Payable** for tax collected · Credit **2400 Tips Payable** for tips. Refunds reduce the same lines. The entry's source type is **POS summary**, which makes it reversible as a unit.

## Disconnect

**Disconnect** stops the sync and removes stored tokens; posted entries stay in the ledger.
