Frequently asked questions

Is OneBooks free? There is a permanent Free plan, bounded by your annual turnover and invoice count rather than by features — compliance and the AI assistant are included. LithosPOS customers get the Standard plan at no charge once they connect OneBooks from inside LithosPOS — there is nothing to claim, and installing the LithosPOS app from the Marketplace doesn’t start it on its own. If the connection ends, for example because LithosPOS disconnects a business whose LithosPOS subscription has ended, Standard continues until the close of the current period. Everyone else picks from four plans priced in their own currency. See Billing and plans.

Do I need a credit card to start? No. The Free plan needs none, and neither does the 7-day trial of a paid plan, which you start in Settings → Billing & Plan. Add a card during the trial to keep the plan; if you don’t, the trial ends, nothing is charged and your business continues on the Free plan — nothing is deleted.

Can I have more than one business? Each sign-up creates one business. For a second business, sign up again with another email or ask support.

Can I export my data? Always: customers, suppliers, items and transactions to Excel or CSV, and every report to PDF or Excel. See Import and export.

Can I change my country later? Only until the first transaction; after that, through a support request. See Choose your country.

Does OneBooks track stock? Yes, quantities only. With Inventory Tracking on and Track inventory ticked on an item, its stock goes down when an invoice is sent and up when a purchase is received or a sales return is confirmed (and the reverse for a purchase return). Voiding reverses the move. There is no stock valuation, and imported history (Tally, opening balances) and POS daily summaries do not move stock. See Inventory fields.

Can I work in more than one currency? No — one business currency per business, with the right number of decimals for it.

Why can’t I edit a sent invoice? Its posting is final. Void it and issue a new one, or issue a credit note. See Corrections.

Why is my profit different from my bank balance? Profit is accrual-based (invoices and purchases count when issued); cash follows payments. Compare the profit and loss with the cash flow.

What happens at year end? Lock the year, review the closing preview, close. See Fiscal years, locking and closing.

Is OneBooks ZATCA-compliant? Yes: Phase 2 e-invoicing with device onboarding, signed UBL invoices, QR codes and clearance or reporting. See Saudi Arabia.

Does it prepare Indian GST returns? Yes: GSTR-1 and GSTR-3B with readiness checks, exported as JSON or Excel. See India.

How do I record a zero-rated sale? Add a 0% tax rate and use it on the line, so the sale still appears on the tax report.

Can the AI change my books? It can only propose; a person confirms each change. It never deletes, voids or refunds, and its edits are limited to draft invoices and purchases, items, accounts, customers and suppliers. See Safety, privacy and limits.

Can I connect Claude or ChatGPT? Yes, over MCP with OAuth sign-in. See Connect Claude or ChatGPT.

How many AI credits do I get? It depends on your plan: 100 a week on Free, 400 on Standard, 1,200 on Professional and 3,000 on Premium, shared by the assistant and connected agents. The allowance renews every 7 days from the moment your business signed up, unused credits don’t roll over, and a plan change takes effect at the next weekly renewal. See Credits and limits.

What are marketplace apps, and do they cost extra? Apps built by outside developers that add features to OneBooks — payments, payroll, shipping, reporting and more — found under Apps → Marketplace. Installing an app is free on every plan, including Free. An app may charge for its own service: its pricing label and Pricing section say how, and the developer bills you directly — OneBooks doesn’t. See Find and install apps.

Who can install or uninstall apps? Anyone with the integrations.manage permission, listed under Integrations in Settings → Users & Permissions — owners and admins by default. Everyone else can still see and use the apps your business has installed. See Users, roles and permissions.

What happens to my data when I uninstall an app? The app loses access immediately, and everything it created stays in your books. Data it stored in OneBooks is deleted after 48 hours unless you reinstall it, and the developer is told to delete what they hold for your business. See Manage installed apps.

Can my accountant have access? Yes — add them as an Admin (or Member with extra permissions). See Users, roles and permissions.

Can someone have read-only access? Yes — the Viewer role.
